            <title>Intermittent Service Disruptions to ApplicationXtender</title>

            <description>For the last several days we have been experiencing intermittent server outages on the server running ApplicationXtender. &amp;nbsp;We have been in constant contact with our vendor partners and have a divisional task force working on the issue. &amp;nbsp;Tonight at 6:30 pm we performed an unscheduled maintenance to further ascertain where the issue maybe. &amp;nbsp;We may also have resolved the problem. &amp;nbsp; We will continue to monitor the performance of the system and work on the issue until it is resolved.

            What do I need to do?	
            The first time you access the new version of AX you will be asked to update an ActiveX component on your machine. YOU MUST HAVE ADMINISTRATIVE PRIVILEGES TO YOUR MACHINE TO PERFORM THIS UPDATE. After being prompted, click OK, and it will install. Please contact your Tech Support person for your area to do this if you do not have administrative privileges to your machine. Your tech support person can be found at http://computing.wayne.edu/help/faculty-staff.php. This update is required.

            ApplicationXtender is available for use. Maintenance is still underway for some of the documents in B-S-ADMN and B-F-DOCS. All other ApplicationXtender applications are available and viewable with or without annotations. Maintenance will be completed by the morning of Friday, January 4.
        
        
            Affected Services	
            
            Some documents within B-S-ADMN and B-F-DOCS that have annotations will not appear until this maintenance has been completed.
            Receipt of the following error message, &amp;quot;Interactive Viewer OCX - an exception occurred while initializing document page!&amp;quot; is an indication that it is one of the documents that is being corrected. Documents displaying the error message will be available tomorrow, Friday, January 4.

            Summary
            On Sunday, June 12, 2011 Computing &amp;amp; Information Technology (C&amp;amp;IT) staff upgraded to Banner 8.3 / 8.4. This upgrade changed the look of the BDMS (AX Web Access (Xtender)) icons. The functionality remains unchanged.
        
        
            Affected services
            BDMS icons on the Banner icon toolbar that used to direct to AX Web Access (Xtender).
        
        
            What you need to do
            When you log in to Banner, you will no longer see two BDMS icons with an 'X' in the center of the Banner forms toolbar. These icons have been replaced, but the functionality of the icons remain the same.
            For BDMS - Display Document, you will see a magnifying glass on a beige background.&amp;nbsp;
            For BDMS - Add Document, you will see a green plus sign on a beige background.
            
        
        
            Important dates
            Effective Sunday, June 12, 2011, you will notice a new look for the two BDMS icons on the Banner icon toolbar.

            On Monday, March 7, 2011, a new Workflow tab will be available in WSU Pipeline for all employees. 
            
            
                If you DO NOT USE Workflow, you can skip this message. The Workflow tab will remain available to you, for possible future use.
                Those who DO USE Workflow can read below about how this new tab will make it more convenient to access Workflow information.
            
                         The new Pipeline tab will contain all the Banner Workflow channels:&amp;nbsp; My Workflow Worklist (currently published on the Faculty tab), My Workflow Alerts, and My Processes. This tab also will contain a link to the Office of Scholarships and Financial Aid&amp;rsquo;s new Student Award Authorization form that departments use to process loans, grants, and scholarships. 
            
            As additional Workflow forms are developed, links to them will display on this tab as well.
        
        
            Affected services
            Access to using Workflow will not be affected during the implementation of this functionality. The existing My Workflow Worklist channel on the Faculty tab will remain available.&amp;nbsp;
        
        
            What you need to do...
            
            To view the Workflow channels (to which you may have access), log in to Pipeline and click the Workflow tab.

            On Sunday, November 14, 2010 C&amp;amp;IT staff masked the Social Security Number (SSN) field for each applicable app (B-A-IDGP, B-H-ID, B-S-ID, B-R-ID, B-R-TREQ, etc.) in ApplicationXtender production environment. A new feature of the current version of Xtender 6.5 (implemented July 2010), allows us to use a predefined field format for SSNs. This format utilizes asterisks in place of the first five numbers of the SSN field when displaying the index values for a document.
            
            The new format looks like ***-**-#### instead of ###-##-####.

            On Sunday, July 25, 2010 C&amp;amp;IT staff is going to upgrade ApplicationXtender from version 5.4 to 6.5. This upgrade will resolve several existing problems with ApplicationXtender. The 6.5 release will resolve the existing issue with using PDF's created from Adobe Professional Version 9.

            Affected Services
            
            ApplicationXtender, our Document Management System, will **not** be available on Sunday morning, July 25, 2010, from 2 a.m. to 8 a.m.
            
        
        
            What you need to do
            
            You or a technical support staff person in your deparment need to uninstall certain software components and install an upgrade to the AX Web Access software (Active X controls) as soon as possible after July 25. The AX 6.5 install is not compatible with the prior version of AX 5.4.
            A job aid for installing the AX Web Access upgrade is available&amp;nbsp;on C&amp;amp;IT's website.
            
            
                If you have administrator rights to your computer, you can download and install the update yourself.
                If you do not have administrator rights to your computer, ask a technical support staff person in your department to install this update for you.
            
            If you are familiar with the install process, you can access the AxClientInstaller executable, which includes all required Active X Controls and written instructions, via the Support page of the Document Management website.&amp;nbsp; The new AX 6.5 version of the installer is now available Document Managment website.

            On Sunday, July 25, 2010, C&amp;amp;IT staff is upgrading the ApplicationXtender (AX) suite of software from version 5.4 to 6.5. This software is a major component of Wayne State's Document Management System.
            This AX upgrade is required at this time to solve a number of existing issues including allowing PDF documents created with Adobe Professional 9 to work correctly with AX.&amp;nbsp; In order to use the AX 6.5 version an update of the Active X controls will be required for the employees&amp;rsquo; desktop.
            
        
        
            Affected Services
            
            ApplicationXtender, our Document Management System, will not be available betweeen 2 a.m. and 8 a.m. on Sunday, July 25, 2010.
            
        
        
            What you need to do
            
            You or a technical support staff person in your deparment need to uninstall certain software components and install an upgrade to the AX Web Access software (Active X controls) as soon as possible after July 25. The AX 6.5 install is not compatible with the prior version of AX 5.4.

            As previously announced, the upgrade to AX version 6.5 will occur on Sunday, July 25, 2010 between 2:00 am and 8:00 am The Document Management Team in Computing &amp;amp; Information Technology (C&amp;amp;IT) recommends that you complete&amp;nbsp;indexing of all outstanding documents in your batches that exist in ApplicationXtender by the end of Friday, July 23, 2010&amp;nbsp;to avoid any loss of outstanding batches or issues associated with your batch documents.
            
        
        
            Actions Required
            
            &amp;nbsp;If you scan or import a document, a batch is created in a common area of Application Xtender.&amp;nbsp; Once a document is indexed, it is placed into the ApplicationXtender system and permanently stored.&amp;nbsp;
            
            We are concerned that the upcoming AX version 6.5 upgrade&amp;nbsp;may impact your ability to access batches left in that common area after the&amp;nbsp;upgrade.
            You can continue to scan to your local or network drive and import the documents after the AX version 6.5 upgrade.
            &amp;nbsp;
            To avoid any possible issues, we recommend that you complete indexing all documents in your outstanding batches that have been imported but&amp;nbsp;not indexed&amp;nbsp;into Application Xtender by the end of Friday, July 23, 2010.&amp;nbsp; If you have batches that you do not need, you can delete them.
            &amp;nbsp;
            To determine if you have any outstanding batches in ApplicationXtender you may click on the link Un-Indexed Xtender Batch List Report on the Support page of the Document Management website to search the PDF report of un-indexed batches.&amp;nbsp;

            You can also review a job aid on how to manage your batches by clicking on the link manage your batches.&amp;nbsp; This will begin the job aid.

            What you need to do
            Additional information is going to be distributed in the next week. An update to the ActiveX controls on your desktop may be required. For those using ApplicationXtender Desktop Access, additional changes may also be required. Changes will need to be made on your desktop on Monday, July 26th and all outstanding batches will need to be indexed by Friday, July 23rd.&amp;nbsp; Additional details to follow soon.
