Intermittent problems with WSU voicemail

Wayne State Faculty and Staff,

We are currently experiencing an telephone system issue with WSU voicemail that is causing several intermittent problems:

callers to WSU contact centers will sometimes get "ring-no-answer" instead of the contact center's standard greeting
callers to office phones will sometimes get ring-no-answer instead of the prompt to leave a voicemail message
when dialing 7-3456 to retrieve messages, the voicemail system sometimes does not answer

Again this is an intermittent problem -- when it does answer a call, all voicemail system features work normally.

C&IT's Telecommunications team is aware of this issue, and we are working with our vendors to resolve it as quickly as possible. We will send an update when it is resolved.

We regret the inconvenience caused by this issue, and thank you for your patience.

Always on the go? Have a personal cell or smartphone phone plan with ample usage minutes?
Gartner, a global consulting firm, predicted that 40% of knowledge workers would desire to forgo traditional desk phones by 2013. Beginning May 1, you can do just that.
Wayne State departments have the option to replace office landlines with Virtual Telephone Numbers. This service enhancement is available in two options:

Voicemail only - All calls are routed directly to WSU Voicemail and messages are sent to your Wayne Connect inbox as an attachment.
Mobile Routing - All calls are routed to your mobile number. Unanswered calls are routed to WSU Voicemail and messages are sent to your Wayne Connect inbox as an attachment.

Note: There is no installation fee, just a recurring monthly fee to your department - which in many cases, is lower than current charges for standard desk phone service. Standard mobile phone usage charges will apply.
To see if this option is right for you, please visit computing.wayne.edu/vtn. If you have any questions, please contact the IT Customer Services Help Desk at (313) 577-1977.
Not interested in a Virtual Telephone Number? You can still receive a copy of voicemail messages in your Wayne Connect inbox free of charge. Visit computing.wayne.edu/voicemail for details.

The WSU Voicemail to email feature is currently not working. C&IT staff are aware of the issue and are working toward a swift resolution. We hope to have services restored by tomorrow, Friday, August 17. Note: No voicemail messages have been lost. All messages will continue to be delivered to your telephone.
If you have been experiencing issues with your message waiting indicator lamp, please see the instructions below. If you have additional questions or need assistance with WSU Voicemail, please contact the IT Customer Services Help Desk at (313) 577-1977.
We regret any inconvenience and appreciate your patience during the interruption.

Message waiting indicator lamp won’t go off:

There is a receipt failure notification in your mailbox that has not been listened to. The system may not announce there is a new message, and might only announce number of saved messages.
Press #5 to ‘hear new messages’ (even if it states no new messages)
The system announces that you have 1 receipt and play the message.
Press 3 to erase the receipt message
Press 7 to save the message. When you do this, your MWI should turn off.
If you do not save or erase, MWI will remain on until erased or saved.
Message receipt failure notification (Error Code 401 or 511):
Voicemail box contains an error message stating: “Your message, sent on <date and time> could not be delivered. Error code 401 (or 511) due to an unknown problem”
Reason for this message failure: Someone the end user called and left a voicemail for has WSU feature “voicemail to email” enabled. The delivery failure error is because the voicemail system is unable to deliver a COPY of the voicemail message to the recipients email inbox. This delivery failure is due to the technical issues we are experiencing with Wayne Connect this week.
What to do: No action is necessary on your part. The called party HAS received your voicemail message on their telephone. The message that was rejected is simply a COPY intended for email delivery. After email issues are resolved, you may elect to resend the message (by pressing 1 7) if desired, but again the messages have been and continue to deliver to all telephones. We do ask that you please refrain from attempting to resend the message until the email issues are fully resolved as currently it will only result in another rejection of the file.

Avoid complications--complete voicemail setup today!

[This message was sent via email to WSU Employees on November 18, 2011.]
On Monday, November 14, the university upgraded to a new voicemail system. At that time, a temporary password was provided to simplify self-service enrollment. For long-term security, that temporary password will expire today, Friday, November 18, at 6 p.m.
After 6 p.m., you will no longer be able to self-enroll and must instead fill out a Telephone Service Request to obtain a password for voice mailbox access. We strongly recommend that you complete the self-enrollment process before 6 p.m. today to avoid disruptions to your voicemail services. Voicemail messages will continue to record for all WSU phone lines, but you will not be able to access messages without a valid PIN.

The web inbox feature located at voicemail.wayne.edu will also be enhanced during this time. All web inbox users will need to reactivate service by submitting a Telephone Service Request.

Note: The web inbox feature is separate from the voicemail to email feature which sends voicemails to your Wayne Connect inbox as a .wav file. No action is required for those users who have completed the self-enrollment process and have activated the voicemail to email feature.

Step-by-step instructions for the self-enrollment process are available at: http://computing.wayne.edu/docs/voicemail-training.pdf

For assistance, contact the IT Customer Services Help Desk at 313-577-1977 or voicemail@wayne.edu.

The WSU Voicemail upgrade has been completed successfully. In order to access your voicemail, you need to complete a self-enrollment process during which you re-record your personal greeting and reset your password. Step-by-step instructions are available here:http://computing.wayne.edu/docs/voicemail-training.pdf

The new WSU Voicemail system will allow you to receive a copy of voicemail messages as a .wav file in your Wayne Connect email inbox. To set up this feature, you need to fill out aTelephone Service Request form after you have completed the enrollment process.

Note: Due to higher than normal call volumes you may experience a busy signal when trying to access voicemail. Message waiting indicators will also be reset during this time and may not accurately reflect the contents of your voice mailbox. Voicemail messages can still be left and retrieved. We recommend you check your voicemail periodically throughout the day. Indicators should be working correctly by tomorrow, Tuesday, November 15.

Check your campus contact info and update it NOW for 2012 WSU Directory

[This message was sent via email to WSU Employees on November 1, 2011]

Your help is needed to prepare an accurate 2012 WSU Faculty and Staff Directory. C&IT Computing & Network Services is distrubuting a printed directory in early January 2011.

WSU faculty and staff need to submit all changes to the "Faculty and Staff Listed by Name" section byWednesday, November 23, 2011 -- to make sure that correct and up-to-date contact information is printed in the white pages of the 2012 Directory.

    Have you moved office locations?
    Has your phone number changed?
Was your office address or phone number incorrect in the last printed directory?

Please take a minute NOW to review your Personal Information in WSU Pipeline. (See instructions below.) Your profile in Pipeline feeds the Banner Administrative System, and the faculty and staff listings in the WSU Directory are taken directly from Banner.

For the 2012 printed Directory, we will print the first three unique lines of your campus address from your Personal Information profile in WSU Pipeline, along with your campus phone and AccessID email address. When you check your Personal Information, make sure your campus mailing address includes room number and building name.

To update your campus and home information in Banner:

Log in to WSU Pipeline at http://pipeline.wayne.edu using your WSU AccessID and password.
    Click the "Employee" tab.
Under "Employee Self-Service", click the "View Personal Info" link.
On the "Personal Information" tab that displays, click the "Update Address(es) and Phone(s)" link.
Follow the instructions on this page to change your work or home addresses and/or phone numbers.

NOTE: Before inserting a new address, you m ust place an end date in the old address. If you need assistance updating your Personal Information, please contact the C&IT Help Desk, (313) 577-4778 or helpdesk@wayne.edu.
NOTE: Due to concerns regarding privacy of employee personal information, the home address and home phone number for WSU employees are no longer displayed in either the online University Directory or the printed Faculty and Staff Directory.

** FSD_Editor cannot make changes to the WHITE PAGES **

WSU Voicemail upgrade coming this November

[This message was sent via email to All Employees on October 24, 2011.]
Next month, an upgrade to our current system will provide Wayne State employees with enhanced flexibility and new features to manage their voicemail. There are a few important things you should know:
· Your voicemail system will be unavailable for the morning of Monday, November 14.
· Voicemails will not transfer to the new system. Make sure you have all the information you need from your current voicemails (new and saved) before the upgrade.
· After the upgrade, you will need to complete a self-enrollment process during which you re-record your personal greeting and reset your password.

The new WSU Voicemail system will allow you to receive a copy of voicemail messages in your Wayne Connect email inbox, manage your voicemail from a secure website, and listen to your voicemail messages from a computer.

Additionally, you can use the same familiar prompts to listen to and manage your voicemail. WSU's Voicemail access number, 577-3456, stays the same too!

Note: You do not need to take any action at this time. Stay tuned for more information regarding WSU's Voicemail upgrade. If you have questions, call C&IT’s Network Services Help Desk at (313) 577-1977.

This message was sent via email on June 2, 2011, to Wayne State employees by Computing & Information Technology.
In C&IT’s annual customer satisfaction survey, Wayne State faculty and staff asked for changes to our Voicemail System. This summer, an upgrade will give university employees enhanced flexibility and new features to manage their voicemail:

Receive a copy of voicemail messages in your Wayne Connect email inbox.
Manage your voicemail and personal settings from a secure website.
Listen to your WSU Voicemail messages from a computer.

Additionally, if you use the telephone keypad to listen to and manage your voicemail, we have good news: you can use the same familiar voicemail prompts. WSU's Voicemail access number, 577-3456, stays the same too!
It all adds up to your WSU Voicemail being easier to access and use -- and it’s coming this summer!
Stay tuned for more information regarding WSU's Voicemail upgrade. If you have questions in the meantime, call C&IT’s Telecommunications Help Desk at (313) 577-1977.

Removal of WSU/DMC Tie Line

[Sent via email to all WSU employees from Computing & Information Technology]
As part of our ongoing cost containment initiative at Wayne State University, Computing & Information Technology (C&IT) negotiated reduced rates for the campus AT&T Centrex telephone service. These reduced rates for telephone service include unlimited free local calls (313 area code) for university telephone lines.

For many years, C&IT has maintained a tie-line between the Wayne State phone system and the Detroit Medical Center phone system. Using the tie-line (instead of calling a DMC phone number directly) eliminated the cost of a local call. To use the tie-line, WSU staff would dial the tie-line code "132", followed by the DMC phone's 5-digit extension (e.g., 132-5-2142).

Now that WSU's Centrex phone service offers free local calling, it is not necessary to use the tie-line. WSU staff can call a DMC phone directly by dialing "9" followed by the DMC 7-digit phone number (e.g., 9-745-2142).

Since it is no longer needed, the WSU-DMC tie line will be retired on Monday, December 20, 2010.

If you have questions, please contact Richard McCreedy, Director, C&IT Computing and Network Services, 577-8891, or richard.mccreedy@wayne.edu.

[Sent November 1, 2010 via email to WSU Employees]
Your help is needed to prepare an accurate 2011 WSU Faculty and Staff Directory. C&IT Computing & Network Services is distributing a printed directory in early January 2011.
WSU faculty and staff need to submit all changes to the "Faculty and Staff Listed by Name" section by Wednesday, November 24, 2010 -- to make sure that correct and up-to-date contact information is printed in the white pages of the 2011 Directory.

For the 2011 printed Directory, we will print the first three unique lines of your campus address from your Personal Information profile in WSU Pipeline, along with your campus phone and AccessID e-mail address.

NOTE: Before inserting a new address, you must place an end date in the old address.
